Recently, Kashyap Deorah took to Twitter his bitter experience on using Expensify. The CEO of HyperTrack said that they had subscribed to Expensify for reimbursement, but the vendor had auto-upgraded them to an annual plan, increasing the price 4x than usual.
This is what he said in his tweet:
They chose to reimburse their expenses using Expensify, even though it wasn’t that user-friendly.
HyperTrack's expenses stopped for a while post-COVID because of WFH. After a few months, a payment had failed to reimburse, and they decided to dig deeper.
Their SVB bank account stopped functioning and needed some additional paperwork. Sorting this out took a longer time to fix than usual because of bureaucracy.
While investigating this, they noticed that their Expensify plan had been auto-upgraded to the annual subscription. To add insult to injury, everyone who was invited to the account was considered as users in the per-user plan.
Also, the vendor had increased the pricing 4x, but none of their finance team members was aware of this situation.
Expensify’s customer support wasn’t helpful, and they kept passing the buck amongst themselves.
What We Think?
This is the exact case that emphasizes the need for license management tools. With an automated license management tool, you can track the number of licenses and the amount spent per license. It also notifies when the vendor increases the price and lets you set alerts for future renewals much prior. This way, you can stay proactive and avoid surprise renewals. Also, if you want to shift to better options, you get considerable time to research and select another vendor.
